Tips to Get Rid of Paper Clutter -- Forever!

We are surrounded by it, overwhelmed and annoyed by it and we can't seem to get rid of it - all that paper!  Why does it pile up so fast? Why do most of us find dealing with it to be the most stressful thing we do? 

The answer for most of us is simply this - we haven't decided what to do with it.

Barbara Hemphill, an organizing guru of 25 years and author of Taming the Paper Tiger at Work, says that, "Clutter is nothing more than postponed decisions."  Use the following tips to eliminate clutter by making better decisions about your paper:

  • Remember the FAT! There are really only three things you can do with any piece of paper -- File it, Act on it or Toss it -- FAT! Here's an easy process to get going:

    • Set a timer for 15 minutes (really - short spurts work best!) Start on one stack and make one of the three decisions about every piece of paper. Be sure not to move on to the next item until you have chosen F, A or T.

    • Remember, don't begin acting or filing just yet -- simply separate the action items from the filing and make two stacks. (Toss the rest.) Be sure to wait until you are through your appointment for "FAT-ing" the stack before you begin working on things. (Most people start working and stop sorting.

  • Practice the Art of Wastebasketry. TM Research has shown that 80% of what we file, we never look at again, so be very choosy about what you keep. Ask yourself,  "What's the worst that could happen if I toss this?" If you can live with the answer, throw it. If you have trouble throwing things out, you may need help to develop skills to be able to do it easier (from a Professional Organizer, for instance.)

  • Decide what to do with the action items. For each paper needing an action, ask yourself what's the next step that needs to happen with it. If the next action is time-bound, make a note in your calendar to do it. Be sure to have a consistent "home" for these papers until you have completed the tasks.   • Have a filing system that works. A great filing system is logical, accessible and consistent. Think of it this way -- when you unload your dishwasher, you probably don't wander around your kitchen with a handful of forks wondering where to put them (and worrying that if you put them away, you may never find a fork again!) Our kitchens are usually logical (silverware drawer is next to the dishwasher), accessible (ditto) and consistent (forks always go in the in the same place every time). Make your filing system have these qualities and you will be more likely to actually use it. (See us about the Paper Tiger software -- the simplest filing solution of all!)

  • Don't postpone. Remember, clutter is postponed decisions. What will you know tomorrow that you don't know today? Make that FAT decision now!
